1. Licensing & Compliance
Roots in Tech Inc. maintains all core licenses (Elementor Pro, Rank Math Pro, Crocoblock, Flying Press). These remain active and compliant as part of your managed service.
2. Managed Domains
One standard domain ($30 limit) is included with an annual commitment. Early cancellation of service results in a billing adjustment for the remaining term of the annual domain registration.
3. Support & Maintenance
Monthly support, maintenance, and developer hours are allocated to ensure peak performance. These hours are fixed per month and do not roll over.
4. CRM & Sole Usage Responsibility
Your plan includes the software license for the Roots CRM. However, all active communication, automation, and AI features are usage-based. The client is solely responsible for all costs incurred by their account usage, which are billed directly based on upstream provider rates (including but not limited to Twilio, Mailgun, and OpenAI).
Billable usage includes, but is not limited to:
- Telephony & SMS: SMS/MMS segments, voice minutes, phone number leasing, and carrier fees (A2P 10DLC).
- Email Services: Marketing/transactional sending and automated list verification.
- Premium AI: Content AI (text/blogs), Image AI, and Conversational AI Chatbots.
- Workflow Actions: Premium integrations and automated ChatGPT workflow steps.
5. Third-Party Seats
Google Workspace, Microsoft 365, and Cloudflare Pro seats require a 12-month commitment. Setup fees: $100 for the first account, $50 for each thereafter. Dropsuite: $75 setup + $35/extra account.

How does the Google Workspace / Microsoft 365 setup work?
We take the hassle out of business email. We charge a one-time setup fee ($100 CAD for the first user, $50 CAD for additional) to configure your DNS, security records (DKIM/DMARC), and user accounts. This helps ensures your emails land in inboxes, not spam folders. Note: Monthly license fees for Google/Microsoft are paid via invoice and have an annual commitment.
